EZwholesale feature guide

EZwholesale is an online B2B ordering platform for Australian wholesalers and their business customers. Wholesalers publish a catalogue, approve customers, set customer-specific prices and process orders with automatic invoices and picking lists. Business customers order online for free. This guide walks through each step.

For wholesalers and suppliers

Sign up as a Wholesaler (Seller), choose your main business category and enter your business details in English. Every new wholesaler account starts with a 15-day free trial that includes all features.

Add your products

Open the Product Management tab. There are three ways to build your catalogue:

  1. Add New Product: enter the name, SKU, price including GST (AUD), GST amount or GST-free, category, unit (each, box, g, kg, ml or L), stock quantity, picking location, description and image.
  2. Bulk Add: download the CSV template and fill in name, basePrice, categoryName, unit and stockQuantity (sku, description, pickingLocation and imageUrl are optional).
  3. Import with AI: upload an Excel or CSV file, a PDF price list or a photo of a printed catalogue (up to 8 MB), or paste a product page URL. Review and edit the extracted rows; nothing is saved until you click Import.
  4. Add volume discount tiers (minimum quantity and discounted price) and set each product to For Sale, Sold Out or Inactive.

Approve customers and set their prices

Customers must be approved before they can order from you. In the Customer Management tab:

  1. Approve or deny pending access requests. The customer is told the result by email.
  2. Use Set Custom Prices to give an approved customer their own unit price per product. Volume discounts are calculated from that price.
  3. Revoke access at any time. You can approve the customer again later.

Confirm and process orders

New orders arrive in the Order Management tab with the status Pending.

  1. Click Confirm Order to review it. You can change quantities, remove items, add a shipping cost (including GST) and leave a note. A note is required when you change the order.
  2. Move orders through Confirmed, Preparing, Shipped and Delivered, one at a time or in bulk. Cancelling an order returns its stock.
  3. Record payments as Unpaid, Partially Paid or Paid, with the amount received.
  4. Search orders and filter them by status, order date or the delivery date the customer requested.

Generate invoices, picking lists and statements

Documents are created from your order data, so there is nothing to retype.

  1. Download a tax invoice for any confirmed order, or download invoices for several orders at once. Your ABN, bank details and invoice memo from Settings appear on the invoice.
  2. Download a picking list for one order, or select several orders to create a combined picking list that totals quantities and sorts them by picking location.
  3. Select orders from one customer to generate a statement of account showing their outstanding balance.
  4. Document features depend on your plan. Statements of account are included in Pro and during the free trial.

Track sales and stay in touch

Your dashboard shows how the business is going and keeps conversations in one place.

  1. See revenue, order count and total customers for today, this week, this month, this year, all time or a custom date range, plus your top-selling product and top customers by revenue.
  2. Use the Messages tab to talk to customers directly. Both sides get a dashboard notification and an email.
  3. Turn on push notifications in Settings to get new orders, messages, status changes and access requests on your device.

For business customers

Restaurants, marts and other businesses that buy wholesale use EZwholesale for free. Sign up as a Business Customer (Buyer); no subscription or payment is required.

Find wholesalers and request access

Open Find Wholesalers in your dashboard.

  1. Browse the wholesaler directory and filter it by business category or state.
  2. Click Request Access on a wholesaler. You are notified by email when they respond, and once approved the wholesaler appears in My Wholesalers, ready to order from.

Place an order

From My Wholesalers, click View Products to open a wholesaler’s catalogue.

  1. Prices shown are your prices, including any custom price or volume discount the wholesaler has set for you.
  2. Add items to your cart. A cart holds products from one wholesaler at a time.
  3. Choose a preferred delivery date, add a request for the wholesaler if needed, and place the order. GST is shown in the order summary; the wholesaler may add a shipping cost when confirming.

Track, change and reorder

My Orders lists every order with its order status and payment status.

  1. Change quantities on an order while it is still Pending.
  2. You get an email and a dashboard notification whenever the wholesaler confirms, changes or updates your order.
  3. Download the invoice once the order is confirmed, and use Reorder to put all items from a past order back in your cart.

Favourites, restock alerts and messages

Keep regular items and conversations close at hand.

  1. Tap the star on a product to save it to Favourites.
  2. For a sold-out product, click Notify Me When Available and you will get an email when it is back in stock.
  3. Message an approved wholesaler from the Messages tab or about a specific order from My Orders.
  4. The Analytics tab shows your spending by wholesaler and your top 10 products.
